Instructions and Search Overview
Online records can by found by browsing all available records or by searching specific document categories or document text. To find records using either of these methods, simply click the Browse Tab or Search Tab at the top of database opening page. Instructions for performing each type of search and then accessing the results follow.
Browse Tab
Browsing allows you to see all of the documents available on the system by their name. They are kept in a variety of folders and subfolders. Use the following instructions to view, open, and print the document.
Click on any folder name to see a list of subfolders and documents within that folder.
Click on the name of the document file you wish to see. A new page will open.
To view the scanned document, click the red "book" icon near the top of the new page.
If no book icon appears under a folder, there are no documents available for viewing in that folder.
Pages can be opened for viewing individually or as a group by clicking on the appropriate boxes on the right side of the viewing page.
Pages can be printed individually by clicking on the printer icon in the toolbar at the top of the page, or as a group by selecting "all pages," clicking on "thumbnails" at the top of the page, and then using the printer icon at the top of the new viewing page.
Search Tab
Two basic types of searches can be performed using the system's Search features: "Document name" and "Text for full search." The sections below correspond to the search boxes found on the Search page.
Document Category
Select the document category from the drop down menu. For example, if you want to search in Council minutes only, select "CC Minutes." If you wish to search in more than one category, select "All Document Categories."
Document Name
This type of search allows you to look for documents based on the name of the document. Enter as much of the document name as you know.
Text for full search (recommended search method)
This type of search allows you to look at any word in a document. To perform this type of search simply select the document category from the drop down menu then type one or more words in the white box and click on the "search" button. The system will find all documents within the selected category that contain any of the words you specify.
To search for an exact phrase, enclose the phrase in double quotes ( " " ). You may also use the various Boolean search conditions, such as AND, NOT, and OR.
Viewing and printing
Click on the name of the document file you wish to see from the search results page. A new page will open.
To view the scanned document, click the red "book" icon near the top of the new page.
If no book icon appears under a folder, there are no documents available for viewing in that folder.

To view the places in the document where your search words/phrase appear, click the "text" button at the top of the page.
